Frequently asked questions and answers about the practical arrangements for the conference.

General Information

  • The parking facility is operated by Q-Park, and parking requires a ticket and can be bought with credit cards. Parking for guests arriving by car is at their own expense.

    Bicycle Parking

    Bicycles must be parked in bicycle racks. Bicycles that are not parked in the racks will bew removed without notice.  

  • The campus is fully wheelchair accessible and equipped with accessible restrooms, wide doorways, and elevator access. 

    The elevator can only be used by wheelchair users and people with mobility difficulties. To access the elevator in Building B you will need to contact the info desk near the elevator.  

    There are 21 accessible parking spaces in the underground parking garage.  

    If you are a wheelchair user or have mobility difficulties, please contact us at NERA2026@via.dk before the conference.

  • Lost or forgotten items can be handed in or collected at the Information Desk in building B during opening hours. 

    Opening hours: 

    • Tuesday–Thursday: 08:00–18:00 
    • Friday: 08:00–15:00 

    If you realize after the conference that you have forgotten something, please contact: NERA2026@via.dk.  

    Any unclaimed items will be donated to charity after three weeks. 

  • Campus consists of five interconnected buildings, each with its own color: 

    A – yellow, B – green, C – blue, D – purple, and E – orange

    Building B is the central building, containing the info desk.

    Orientation is based on the building letter, floor, and room number, which are marked on all columns near staircases and entrances.

    • Room D3.05 is therefore in Building D, Floor 3, Room 05.
    • Room BE2.01 is therefore in the corridor between Buildings B and E, Floor 2, Room 01.

  • A staffed cloakroom and luggage storage area are available for all conference participants.

    You locate the Cloakroom in Building E.

    You are welcome to leave coats, bags, and suitcases during opening hours. 

    Opening hours: 

    • Tuesday-Thursday: 08:00–18:00 
    • Friday: 08:00–15:00 

    Please remember to collect your belongings before closing time. 

  • This is a non‑smoking conference and campus.

    If you wish to smoke, please do so outside the VIA campus area. 

  • Free Wi-Fi will be provided at the conference. The information will be found on your name badge.

  • The meals and refreshments provided during the conference will primarily be vegetarian.

  • If you have any questions during the conference, you are very welcome to reach out to representatives from VIA University College. You can easily spot them with their blue T-shirts with the VIA logo.

    You are also welcome to approach anyone wearing a blue “ASK ME” badge.  

    For additional support, please visit the Info Desk in Building B, where staff are available throughout the conference. If you prefer to contact us electronically, feel free to write to NERA2026@via.dk.  

  • The poster presentations will be in Building E (E3.31).

    For those presenting with a poster, the title and name will be displayed on the boards in the poster presentation area, indicating where you should hang your poster.

    Throughout the conference, you are warmly invited to visit the poster area and listen to the presentations.

  • All presentation rooms are equipped with screens. Auditoriums and teaching rooms feature Clevertouch screens, while meeting rooms have standard TV screens with built in video conferencing equipment (camera, speaker, and microphone). Connection options vary by room: auditoriums offer USB C as well as HDMI and USB A, whereas teaching rooms and meeting rooms provide HDMI and USB A. Presenters must bring their own adapter. In teaching rooms, presenters can also share their screen wirelessly using Clevershare by downloading the app.

    Please note that presenters are responsible for bringing any additional materials they may need for their presentation, including paper, markers, Post-its, or other consumables.

    The rooms are set up as traditional teaching classrooms. If you would like a different table and chair arrangement, this can be prepared in advance, but it must be returned to the original setup before the next session, either by the session chair or by a participant from the session.

  • During the conference, you are welcome to use any designated rooms marked as being available for individual or group work. In addition, all open areas across the campus with free seating are at your disposal. Please feel free to settle in wherever you find a suitable spot.

Social Events: Locations & Directions

  • We are pleased to invite registered conference participants to a welcome reception at ARoS Aarhus Art Museum, one of Northern Europe’s leading art museums.

    Participation requires prior registration. A waiting list is available, and you are welcome to write to NERA2026@via.dk if you wish to be added. 

    How to Get to ARoS Aarhus Art Museum 

    Address: Aros Allé 2, 8000 Aarhus C 

    If you stay anywhere in or near the city centre, ARoS are within comfortable walking distance:

    • From Aarhus Central Station (Aarhus H): approx. 10–14 minutes on foot. Follow Banegårdsgade, turn right onto Frederiks Allé, then continue toward the museum area.
    • From the Aarhus Bus Station (Rutebilstationen): approx. 10 minutes on foot via Sønder Allé.

    The museum’s main entrance is on Aros Allé, and the route is clearly signposted.

    Aarhus has an efficient city bus network operated by Midttrafik. Several bus lines stop very close to ARoS.

    • Mølleparken / Thorvaldsensgade – about 4 minutes’ walk from ARoS.

    Bus Lines Serving ARoS

    • City and regional bus lines such as 100, 113, 114, 118, 15, 11, 12, 123, among others, pass nearby depending on departure point.

    Remember: tickets must be bought before boarding buses in Aarhus (via the RejseBillet app).

  • We are pleased to invite registered conference participants to the conference dinner at Turbinehallen.

    Participation requires prior registration. A waiting list is available, and you are welcome to write to NERA2026@via.dk if you wish to be added. 

    How to Get to Turbinehallen  

    Address: Kalkværksvej 12, 8000 Aarhus C.  

    Turbinehallen is located in the central harbour/Filmbyen area of Aarhus only around 570 metres from Aarhus Central Station, making it easily accessible on foot and by bus. 

    If participants are staying in or near the city centre, Turbinehallen is very easy to reach on foot. 

    • From Aarhus Central Station (Aarhus H): approx. 6–8 minutes’ walk, as the venue is located about 570 metres from the station.   
    • Aarhus Central Station is the closest major public‑transport hub to Turbinehallen. Examples of bus lines typically running via Aarhus H / Banegårdspladsen (central hub): A‑lines: 1A, 2A, 3A, 4A, 5A, 6A (frequent city buses).  

    Remember: tickets must be bought before boarding buses in Aarhus (via the RejseBillet app).
